[LGM] Friday Organizational Meeting

Hi

Frank, thanks for the timely summary of the first org meeting on Friday.

All, I took the following (now revised and edited) notes during the Friday
LGM 2019 org meeting, which I'm finally posting for future reference.

Did anyone take notes or can provide summaries for the org meetings that
happened at LGM on Saturday? (I believe there wasn't a substantial meeting
on Sunday :)

# Organization Meeting

Timothée: I'd like to discuss LGM 2020 in Rennes, France (per
https://lists.freedesktop.org/archives/libre-graphics-meeting/2019-May/002460.html).
There is a good location we found, and there is a local host organization,
an association that is using 100% libre software, even their graphist and
audio recording studio running Ardour. There would be a small rent for the
space, but it is a good one, and as it is next to our school Activ Design
where we have 3 classrooms for workshops. We would like to do less
conference and more workshop times for people to get things done together.
There is an active libre software community around, and we have many hands
to help.

Frank: So we have a team, a location, a local ecosystem and a date!

Timothée: Right, its 200-400 EUR

Pippin: Cleaning costs and so on :) Its not a corporate hotel conference
center

Timothée: Yes. Sunday has limited bus transport, which is why we propose
these dates. We also avoid holidays to have good public transport. Tuesday
- Friday.

Julien: Educators may have trouble to take the

Lara; I finished Tuesday this week

Ginger: I don't finish until June in Rotterdam

Pippin: Right, and days adjacent to a weekend is better.

Timothée: Okay, no problem

Pippin: Accomodation options?

Timothée: Good options, Apartment rending there are a few vendors and some
hotels.

Frank: The TGV mainline?

Timothée: Yes, its direct from Paris, and more and more flights

?: No i18nal airport? Answer: There is/are (one in Rennes, and another in
Nantes which is 1h away)

Frank: Wed to Saturday?

Timothée: Yes, I proposed those as provisional dates but that seems easy to
adjust. I will follow up on the mailing list about it.

Frank: Any other questions? No :) Okay, let's vote for Rennes France in May
in 2020.

Ale: And Sri Lanka for 2021, but that may work in 2020 as an alternative
option. But, I would not like to see an LGM hosted by people who had not
attended an LGM before. When we go further from EU, then there are more
risks and complexities, so I would like to see that the Sri Lankan team to
attend next year. And generally it is ideal for people who attend LGMs to
host them.

Lara: Right, Henrique was in Seville, for example.

Frank: Yes. So lets think about what are the things for 2021 we would like
to see. In the next weeks I'd like to clarify that.

Liam: Yes, I agree. The attempt to host the LGM in Rio was not as
successful as it could be, and there are valid reasons not to attend - for
me for example there can be issues that prevent me from going to certain
places. Its great, exciting, I want to go to Sri Lanka whereas I would not
visit some other regions.

Ginger: Right, we nope'd Singapore for simimlar reasons, for example they
have capital publishment.

Liam: I am concerned about the recent bombings.

Frank: I don't see that as a statistically significant issue.

Ginger: And there was some difficulty in Rio

Liam: Right, and yet it was mostly local folks, few of the typical LGM
community

Simon Budig: Right, so what are the requirements?

Liam: I like to see that Rennes is proposing the event here in person, and
if we had competing proposals

Pippin: Many of our contributors are in EU, not in SL or that region.

Simon: I know that GIMP has funded the GIMP community, and we can bring
most of our contributors who want to go, if they want to. Even to Rio, as
we did, or SL.

Ale: We have 50 projects represented and 30 presenting this week, so, we
have to think that if the LGM must pay the travel costs for SL, we may not
be able to do it. I think many people are starting from Europe, so European

Frank: For me coming from USA, then its not much difference between EU and
SL.

Ale: Well, I spend 100 Euros for loging, 60 for travel, 40 for eating...
Would SL be cheaper for 4-5 days? I don't think it is cheaper than here,
you will not do AirBNB in Sri Lanka, we will use a i18nal hotel that has a
similar cost.

Timothée: And while the cost of dinner and such is cheaper as well as for
the hotel, travel cost is much bigger, so I can see its more expensive in
SL for the typical people. Could there be a local event, separate from the
EU event?

Ale: Yes, its an interesting idea, like TED Talks and TED X. Germany,
France, Swiss, Sri Lankan?

Liam: There could be events at the same time, using live video links?

Frank: I think there is value in having the 'central' or 'global' event
outside of Europe, and sharing what we do.

Liam: I worry that it splits the community. For me, the points of the LGM
is to get teams that are remote and i18nally distributed to be together. I
think TedX style events is a different idea.

Ale: Right, but we could have a European event, that is bigger, and then
have organization of smaller other events.

Liam: If I did one locally, I would get the USA and Canadian and perhaps
other American nationals coming there, and it would be a semi-hostile fork.

Ginger: Maybe not everyone can come every year. In Canada, we see lower
attendance from core teams who are mostly in Europe. I think its OK for
people to skip a year.

Ale: I agree, but I would like to see larger meetings frequently.

Pippin: If we go to SL, we want to have something confident for 2022, by
2020 or 2021, so that there is continuity.

Frank: With the SL proposal, we need to look at what it costs, what
peoples' concerns are, and pin it down.

Ale: I really want to postpone the decision until Rennes so that we can
meet Pathum and the folks.

Dave Crossland: I believe he came to LGM in London

Ginger: And he presented remotely to Toronto

Liam: Oh, in this case I am more comfortable.

Ale: Okay, but while he attended, is he on the organizing group?

Frank: Yes, I remember meeting him. So, I would like to suggest he join the
LGM Committee, as I'm keen to

Lara; Great. We have 5 mins left, so we can continue tomorrow. Also, I
would like to ask for a Global Organization person to be a responder, or a
contact, so that there is more than Julia from K8 here :)

Liam: I volunteer. I have no phone, though.

Lara: Also, who will moderate on Sunday. Its just a morning session :) I'm
happy to share the mic :)

Simon: OK, so, is Rennes decided?

Frank: Yes, will someone update the mailing list?

Timothée: Yes, I will :)
